Congratulations! We are delighted to confirm that your application to attend IBTM World 2024 as a Fully Hosted Buyer has been successful, and we look forward to welcoming you to Barcelona, 19th November - 21th November 2024.
Step 1: Where to start?
Log into your Buyer Zone (Portal) using the username and password that you registered with, so that you can start your preparations for IBTM World. You can view your profile and download your visa letter (if needed) under the "Travel" section.
Step 2: Travel
Fully Hosted Buyers are responsible for booking their own flights* via the dedicated IBTM Travel Portal. Flights booked via the IBTM Flight Portal will be viewable in your IBTM World Profile within 72 hours of booking confirmation.
If you are travelling to Barcelona via any other methods of transport, you must upload your travel details to your hosted buyer profile by completing the "Submit Travel" section in the Hosted Buyer Zone, ensuring they comply with the Hosted Buyer Terms and Conditions*. Travel details must be submitted by close of business on Friday 30th August 2024.
Once booked and travelled, you will receive a reimbursement in line with your allocated flight allowance. You can view your flight allowance and full Terms and Conditions here.
When to Book Flights
The IBTM Hosted Buyer team highly recommend you book your flights as soon as possible to guarantee the best rates. Click here to find how the new flight booking process works and how much refund you can receive.
*In instances where the Flight Portal has not been used in order to book a stop-over for a FAM trip, the Organiser may (at its discretion) honour the historical rebate process for 2024 only. To apply for flight rebate payment, Fully Hosted Buyer will need to provide the following:
A copy of their air ticket where the total amount paid appears.
- Proof of FAM trip attendance, an invitation is sufficient
- Their company's bank details.

Step 3: How to Book Accommodation
You can select your hotel preference via the IBTM Accommodation portal. You will receive communication to let you know when the IBTM Accommodation Portal is live and accommodation preferences are open.
Step 4: Pre-Scheduled Appointments (PSA)
Exhibitors will be able to view your profile which help them determine their appointment selection. Make sure you review the information given to us on the Hosted Buyer Zone's Profile page.
Appointment Preference Selection - from 18 September 2024
Please remember to revisit your Hosted Buyer Zone to select your appointment preferences. This will allow you to choose the exhibitors you would like to meet at IBTM World. We will curate and confirm a diary of Pre-Scheduled Appointments (PSA) that align with your preferences.
